Sponsors and exhibitors

Sponsors of the LESS CHAOS surgical symposium are organizations that have provided an educational grant and/or in-kind equipment donation to support the event. Sponsors should contact Lara Beer-Caulfield to register for a table at LESS CHAOS: PHL.

Exhibitors are organizations that haven't provided a grant or in-kind equipment donation and would like to purchase an exhibit table at the event. Exhibit tables can be purchased online for $5,000.

Sponsors & exhibitors can reserve a table in either the pre-function area or the Hancock room.  Breaks will occur in the pre-function space where attendees will walk through to access the event, and breakfast & lunch will occur in the Hancock room. You may select your prefered table area and the Foundation will assign the specific table location based upon availability.

Wednesday, April 23: Table set-up, 7:45 am - 10:15 am or 1:45 pm - 3:45 pm (working around breaks and lunch)

  • Sponsor & exhibitor table hours: 10:15 am – 4:00 pm (breakfast is at 7:00 am, breaks are at 10:15 and 3:45, and lunch is at 12:45 pm; you are welcome to arrive for breakfast)

Thursday, April 24:

  • Sponsor & exhibitor table hours: 9:30 am – 2:00 pm (breakfast is at 6:30 am, breaks are at 9:55 and 3:45, and lunch is at 12:40 pm; you are welcome to arrive for breakfast and stay for the 3:45 pm break)

Friday, April 25:

  • Sponsor & exhibitor table hours: 8:45 am – 3:30 pm (breakfast is at 6:30, the first break is at 9:00, lunch is from 12:30 pm – 1:30 pm, and the afternoon break is at 2:35 pm; you are welcome to arrive for breakfast)

Saturday, April 26:

  • Sponsor & exhibitor table hours: 9:15 am – 1:15 pm (breakfast is at 6:30, the first break is at 9:30, lunch is from 12:10 pm – 1:10 pm, and the afternoon break is at 3:45 pm; you are welcome to arrive for breakfast and stay for the afternoon break) DPM attendance on Saturday at the Wyndham will be lower as some attendees will travel to the cadaver workshop at TUSPM.

Table teardown is Saturday, April 26 from 4:00 pm – 6:00 pm

All of the hours listed above are flexible, and exhibitors are welcome to staff their tables Wednesday-Saturday accordingly.

You can ship exhibit table materials directly to the hotel. You may ship your materials to this address:

If your grant includes equipment that you are shipping directly to the hotel, you can include your exhibit materials with the equipment shipment. The hotel will accept shipments at a rate of $10/box and $200/pallet.

There is no overnight security for the sponsor tables. You can move a reasonable amount of materials to a locked meeting room for overnight storage; see floorplan above, Sherman room.
